Get Doncaster Moving LDP Evaluation - Privacy Notice

This Privacy Notice sets out what you need to know about how the City of Doncaster Council (the Council) along with its data processors CFE Research, Verbit Go and Qa Research, will use your information for the Get Doncaster Moving LDP Evaluation.

The Council is committed to meeting its data protection obligations and handling your information securely.  You should make sure you read and understand this notice before submitting your information to us.

 

What information about you do we collect?

For the processing to which this notice relates to be carried out we use the following information:

• personal information – such as: your name, address, telephone number, email address.
• special category personal information – such as: your ethnicity, information about your physical and mental health

How do we collect information about you?

The City of Doncaster Council or one of its data processors will contact you directly to invite you to take part in evaluation activities. If you agree to participate in further evaluation activities, your contact information will be shared with one of our third-party processors for this purpose.

Your information will then be collected directly from you by one of our data processors via these evaluation activities. These will include online and face-to-face surveys, polls, and interviews; you may choose which activities you wish to take part in.

How will your information be used?

Your information might be used in the following ways:

Contact information, will be used to invite you to take part in other evaluation activities.

Data collected through the activities described above will be used to evaluate the Council’s Get Doncaster Moving programme, to assess its impact on members of its community and its ability to increase levels of physical activity among their residents.

The Legal Basis for using your information

To process your personal data the council relies on Article 6(1)(e) processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority.

To process your special category personal data, in addition to the above, the council relies on Article 9(2)(i) processing is necessary for reasons of public interest in the area of public health.

Who will your information be shared with?

We sometimes need to share your information within the Council or with other organisations. We will only share your information when necessary and when the law allows us to, and we will only share the minimum information we need to.

The City of Doncaster Council, with your agreement, will share your contact information with our third-party processors to allow them to conduct evaluation activities for this programme.

In order to carry out this evaluation, information sharing of survey and interview responses will also take place between our data processors CFE Research, Verbit Go and Qa Research in order to transcribe and analyse the findings – this will take place under a data sharing agreement.

Personal data collected as part of this evaluation project will be stored by our third-party processors and will not be shared with the City of Doncaster Council, unless explicit consent is provided. For example the Social Network Analysis data will be shared with the GDM Team in the City of Doncaster Council.

City of Doncaster Council will be provided with anonymised data sets once any analysis work has been completed.

The Council will never sell your information to anyone else.

How long will we keep your information?

Our third party processors will only keep your information for as long as they need to, after which they will securely delete the information.

Personal data collected through surveys and interviews will be retained for 6 months from the end of the project in September 2025.

Your rights

The law gives you specific rights over your information. These rights are:

• to be informed of our use of information about you;
• of access to information about you;
• rectify information about you that is inaccurate;
• to have your information erased (the ‘right to be forgotten’);
• to restrict how we use information about you;
• to move your information to a new service provider;
• to object to how we use information about you;
• not to have decisions made about you on the basis of automated decision making;
• to object to direct marketing; and,
• to complain about anything the Council does with your information (please see the ‘Complaints’ section below).

Some of the rights listed above apply only in certain situations, and some have a limited effect. Your rights are explained further in the Individuals’ Rights Procedure on our website, as is how to make a request under one or more of them.

Changes to this privacy notice

This notice is kept under regular review to make sure it is up to date and accurate.

Data Protection Officer (DPO)

The Council is required by law to have a DPO. The DPO has a number of duties, including:

• monitoring the Council’s compliance with data protection law;
• providing expert advice and guidance on data protection;
• acting as the point of contact for data subjects; and,
• co-operating and consulting with the Information Commissioner’s Office (see ‘Complaints’ below).

Complaints

If you are unhappy with the way in which your information has been handled you should contact the Council’s Data Protection Officer so that we can try and put things right.

Alternatively, and if we have been unable to resolve your complaint, you can also refer the matter to the Information Commissioner’s Office (ICO). The ICO is the UK's independent body set up to uphold information rights, and they can investigate and adjudicate on any data protection related concerns you raise with them.
