Information for former employees of the Council

As a former employee of the Council we understand that you may require access to your previous pay slips or personal file details.  Employment files are only maintained for 6 years after an employee leaves the Council, after this they are destroyed in line with our retention schedule and Data Protection Legislation.  Therefore the Council will not be able to respond to requests that fall outside of the retention period.

Access to Payslips and P60's

Payslips and P60 details are kept in line with the financial retention period of 6 years plus current year.

  • Former employees seeking payslips and P60's pre June 2019 should email the Payroll Service Centre; hrpgenenq@rotherham.gov.uk 
  • Former employees seeking payslips & P60's post June 2019 can continue to access these through the 'YouHR' log in for three months after leaving. After the three months former employees should contact the Payroll Service Centre; hrpgenenq@rotherham.gov.uk

Access to personal records 

If you would like to make a request for copies of personal information please make a request in line with Data Protection via InfoManagement@doncaster.gov.uk 

Pension Statement or Fund Queries 

If you have received a pension statement or have a pension fund query that has missing service this will need to be raised with your pension provider, they in turn will request information from your employers payroll department. The payroll service centre is currently operated by Rotherham MBC and they can be contacted on 01709 334141 if you have an ongoing enquiry.

Early access to pension requests

Doncaster Council is required by the 2014 Local Government Pension Scheme Regulations to publish its policies in relation to how it will exercise its discretionary powers under those regulations. Part of those regulations included applying a policy for former employees to request access to their pension early on either compassionate or health grounds. Early access to Pension due to Ill Health

Request for consideration for Early release must be made in writing to the HR department where it will be allocated to a designated officer to guide you through the process. Your request will be acknowledged within 7 days however the process can take up to 6 months to complete depending on information available and reason for the application.

Early Pension Release Preserved Benefit

Early access to pension on compassionate grounds

Request for consideration for Early release must be made in writing to the HR department where it will be allocated to a designated officer to guide you through the process. Your request will be acknowledged within 7 days however the process does not have time frame as it will be based on the collation of information and evidence from the applicant.
